This Privacy Policy explains how personal data is handled when you visit pelkacoaching.com, contact me, or enquire about coaching services.
1. Who is responsible for your data?
The data controller is Hubert Pelka, owner of pelkacoaching.com. For privacy questions or to exercise your rights, contact me at hubert.pelka@pelkacoaching.com.
2. Personal data I collect
Contact form. When you use the contact form, I receive the information you enter: your name, email address, subject and message. Please do not include sensitive personal data unless it is necessary for your enquiry.
Email, telephone and bookings. If you contact me by email or telephone, or book a meeting through Calendly, I may process your contact details, the content of our communication and relevant appointment or service details.
Technical data. The web server and security systems may automatically process technical information such as your IP address, browser and device type, requested page, date and time, referring page, and error or security logs. This information is used to operate and protect the website.
3. Why I use your data and the legal bases
- To answer enquiries and take steps requested by you before entering into a contract, and to provide agreed coaching services (Article 6(1)(b) GDPR).
- To operate, secure and improve the website, prevent spam or misuse, and manage ordinary business correspondence (legitimate interests under Article 6(1)(f) GDPR).
- To comply with accounting, tax or other legal obligations where applicable (Article 6(1)(c) GDPR).
- Where I specifically ask for consent, for the purpose explained at that time (Article 6(1)(a) GDPR). You may withdraw consent at any time without affecting earlier lawful processing.
4. Contact form and spam protection
The contact form is provided through SureForms. Submissions are stored in the website database and may be sent to my email inbox so that I can respond. The form uses a hidden “honeypot” field to identify automated spam. No visible CAPTCHA is currently used.
5. Cookies and external services
This website does not currently use advertising or audience-analytics tools. WordPress may use strictly necessary cookies for website administration, login and security. These are mainly relevant to authorised administrators rather than ordinary visitors.
The website loads fonts from Google Fonts. When your browser requests these files, Google may receive technical information such as your IP address and browser details. Please see Google’s Privacy Policy for more information.
The website contains links to external services, including Calendly and LinkedIn. These services operate their own websites and privacy practices. If you follow a link or make a booking, their privacy policies apply to their processing. This website does not control cookies placed on those external websites.
6. Who may receive your data?
I do not sell personal data. Data may be made available only where necessary to service providers supporting website hosting, email, maintenance or scheduling; professional advisers; or public authorities where disclosure is required by law. Service providers are permitted to process data only for the relevant service and subject to applicable data-protection requirements.
7. International data transfers
Some external service providers may process data outside the European Economic Area. Where I use a provider to process personal data on my behalf, transfers must rely on a lawful transfer mechanism, such as an adequacy decision or approved contractual safeguards. When you independently visit an external website, that provider’s privacy policy explains its transfers.
8. How long is data retained?
Contact and form information is kept only for as long as necessary to respond, manage the relationship and deal with reasonable follow-up questions or legal claims. Information connected with a contract, invoice or legal obligation is retained for the period required by applicable law. Technical and security logs are retained for limited operational periods determined by the hosting and security configuration. Data is deleted or anonymised when it is no longer needed.
9. Your rights
Subject to the conditions in data-protection law, you may request access to your personal data, correction, deletion, restriction of processing, data portability, or object to processing based on legitimate interests. Where processing is based on consent, you may withdraw that consent at any time. You also have the right to lodge a complaint with a competent data-protection authority.
You may contact the supervisory authority in the EU/EEA country where you live or work, or where an alleged infringement occurred. In Denmark, this is the Danish Data Protection Agency (Datatilsynet), Carl Jacobsens Vej 35, 2500 Valby, Denmark; email: dt@datatilsynet.dk; website: datatilsynet.dk.
10. Security and automated decisions
Reasonable technical and organisational measures are used to protect personal data against unauthorised access, loss or misuse. No decisions producing legal or similarly significant effects are made about you solely by automated means through this website.
11. Changes to this policy
This policy may be updated when the website, service providers or legal requirements change. The current version and update date will be published on this page.
12. Contact
For questions about this policy or your personal data, email hubert.pelka@pelkacoaching.com or use the contact page.
